Add Data to a Pivot Table

Pivot tables are one of the tools used in Microsoft Excel spreadsheet applications to sort and consolidate data into reports. By using a pivot table, you can decide how you want to summarize and display your data and you can change those options at any time. This allows you to view the same group of data from several perspectives by changing which columns and rows are displayed. Steps

  1. Launch Microsoft Excel and open the spreadsheet containing your source data and pivot table.
  2. Select the tab where your raw data is listed.
  3. Copy and paste or enter the data you want to add to your pivot table into this part of the Excel spreadsheet.
    • Make sure you are entering the new data exactly like the existing entries with the same columns.
  4. Move to the tab containing the pivot table.
  5. Adjust the source data for your pivot table.
    • Click inside the pivot table to force the "PivotTable Tools" menu to launch.
    • Click the "Change Data Source" button on the toolbar or use the Pivot Table Wizard to find the source data.
    • Adjust the range entered to include the newly added data in your Excel spreadsheet.
  6. Refresh your pivot table to finish bringing in the new data.
    • The "Refresh" icon is on your toolbar under the "PivotTable Tools" menu.
  7. Change the layout of your pivot table, if necessary, to reflect the newly added data.
    • Using the Pivot Table Wizard, adjust the rows and columns that display by dragging and dropping the labels into the appropriate areas of the pivot table.



Tips

  • Remember that any changes made to the pivot table must originate in the source data.

  • Always save a copy of the Excel spreadsheet file before working with complicated features such as Pivot Tables, macros or formulas. This ensures that you can always abandon your work and start fresh from the saved copy if you make a mistake.
