Add a PST to Outlook 2010

Using personal folders with your Microsoft Outlook 2010 email account allows you to store messages offline, keeping them safe from automatic archive and deletion processes. Adding a personal folder, also called a PST folder, is quick and easy. By following this guide, you can quickly and easily add a PST to Outlook 2010.

Steps

Using the "File" Tab

  1. Launch Microsoft Outlook 2010, either by locating it within the list of programs under the start button or by double-clicking its desktop icon.
  2. Click the File tab in the top left corner of your Microsoft Outlook window ribbon.
    • The ribbon is the new term for Microsoft Office applications' main toolbars. While the number of options may seem more limited than those in previous versions, it is simply that Microsoft redesigned the menus to make them more intuitive, concise and better organized. This includes the process necessary to create a PST file.
  3. Select the Account Settings tab.
  4. Choose "Account Settings" from the list of available options in the left side of the pop-up window.
  5. Find the "New" button in the upper left corner of this window and click on it. This will create a PST file.
    • You will be able to see where Microsoft Outlook is storing your main personal folder in the large section of this window. To preserve the organization and keep things simple, allow your new folder to be created in this same location.
  6. Enter a name for your new folder.
    • If at all possible, use the same name for the PST file as you want to name the Personal Folder within Outlook. This will also help keep you from getting confused.
  7. Click "OK," then click the "Close" button.

Using the "Home" Tab

  1. Launch Microsoft Outlook 2010.
  2. Make sure that the Home tab is selected on the ribbon.
  3. Find the New section at the far left of the ribbon and click "New Items."
  4. Select the More Items option from the drop-down list and then click "Outlook Data File."
  5. Enter a descriptive name for your data file, following the same naming conventions as in Method 1.
  6. Click "OK," then "Close."



Tips

  • Naming your PST files like your Personal Folders in Outlook will help you keep track of them in the event you need to archive or purge some of your data.
  • See your network administrator for help if you are unable to edit any of the folders or files. Your user account on the network may not have the applicable permissions for this process.
  • You can use the included Outlook Inbox Repair Tool if your PST or data file becomes corrupt. In most cases, this repair tool will be able to fix the problem and restore your data file.

Warnings

  • Make sure to include the location of your PST files in your normally scheduled backups. Losing PST files can be disastrous for most people.
  • Make sure to expand your Archives to view subfolders.
