Plan a Successful Office Luncheon

There are are some important steps you can take to make an in-house office luncheon a success. With the right preparation, your business meeting will go off without a hitch!

Steps

  1. Get budget approval from your supervisor. If it is up to you to create the budget, set your spending limit and stick to it.
  2. Consider putting together a committee for a mass lunch. If you're planning a luncheon for a staff of ten or more people, delegate some of the responsibilities outlined here to your colleagues.
  3. Decide on the menu. Decide whether the event will be catered or an employee pot-luck. More formal meetings are usually catered, but if your office boasts a lot of people who enjoy cooking and you have the kitchen facilities to at least heat up the food, don't be reluctant to do your own 'catering'. If that's the case, type up a checklist or post one online where employees can inform the staff about what they plan to bring. If you're ordering from a caterer, it's not a bad idea to have a contract even for a small office luncheon. This benefits both you and the caterer.
  4. Make sure there is an agenda distributed prior to the meeting with time allotments for each subject to be covered. Stick to the agenda. More likely than not, no one wants to spend more time on the meeting than on the eating.

Tips

  • Choose an assortment of dishes that hold up well, especially if your entire staff isn't able to eat together at the same time.
  • Offer favors to the staff after the luncheon Something practical with the company logo, like a mug or a pen, makes a nice gift.

Warnings

  • Don't forget about cleanup. You can of course instate a separate committee for this, but whether you do it yourself enlist other help, make sure a top notch job is done.
  • Whether or not the luncheon is catered, take the time to create a thoughtful menu. Find out ahead of time if any employees have dietary restrictions, are kosher, or have food allergies and accommodate these requirements when planning the menu so that everyone can enjoy the meal without issues arising due to inconsiderate menu choices.
