Convert Powerpoint to PDF

PowerPoint is the king of presentation software, but there are many times when you want to have it in PDF format for printing or distribution. Conversion is quick and easy,on platforms like PowerPoint 2010 and later, PowerPoint 2007, PowerPoint 2011 for Mac, and how to print to PDF on a Mac computer.

Steps

PowerPoint 2010 and Later (PC)

  1. Click the File tab. This is located at the left side of the Ribbon Tabs.
  2. Click Save As. To access the "Save As" dialog in PowerPoint 2013, you must choose a location and a folder first.
  3. Name your file. In the "File Name" field, enter the name of the file as you wish it to appear.
  4. Select PDF. In the "Save as type" list, click PDF (*.pdf).
    • To open the file as a PDF after saving, click the "Open file after publishing" checkbox.
    • If you want to print the document in high quality, click "Standard (publishing online and printing)."
    • For smaller file size (at the expense of print quality), click "Minimum size (publishing online).
  5. Click Options. This will allow you to set the page to be printed, to select whether markups should be printed, and to choose output options. Click OK when finished.

PowerPoint 2007 (PC)

  1. Click on the Microsoft Office button. It's located at the top left of the window. A menu will drop down: point your cursor at the "Save As" arrow, and from the pop-up list, click on "PDF."
  2. Name your file. In the "File name" list, type or choose a name for your presentation.
  3. Select PDF. In the "Save as type" list, click "PDF."
    • To open the file as a PDF after saving, click the "Open file after publishing" checkbox. Note that this option is only available if you have previously installed a PDF reader.
  4. Optimize the PDF. To save your file in the format most suited for your needs, check one of the following:
    • If you want to print the document in high quality, click "Standard (publishing online and printing)."
    • For smaller file size (at the expense of print quality), click "Minimum size (publishing online).
  5. Click Options. This will allow you to set the page to be printed, to select whether markups should be printed, and to choose output options. Click OK when finished.
  6. Click Publish. Your presentation is converted to PDF.

PowerPoint 2011 (Macintosh)

  1. Click on the Save button. At the top left of the Ribbon Tabs, click on the Save button, represented by a black floppy disc icon.
  2. Name your file. In the "Save As:" field, enter a name for your file, then set the location to save your file using the "Where:" menu.
  3. Select PDF. Using the "Format:" menu in the Save dialog, select "PDF" as the output type.
  4. Click Options. At the bottom left of the Save dialog, click the "Options..." button. This will let you select various output options and features. When you're finished, click "OK."
  5. Click the Save button. This will complete the conversion of your PowerPoint presentation, and save it to your hard drive.

Print to PDF (Macintosh)

  1. Print your presentation. From the File menu, select "Print."
  2. Select PDF. At the bottom left of the Print dialog, click on the the Save As button. Select "Save as PDF..."
  3. Name your file. In the "Save" dialog box, enter a name for your file. You can also enter Title, Author, Subject, and Keywords, as well as select a location for the file.
  4. Click Save. Your file will be saved in the location you selected.
