Convert Excel to Word

Do you want to convert an Excel document into a Microsoft Word document? Excel does not contain a feature for converting an Excel file into a Word file, and Word cannot directly open Excel files. Steps

Copying and Pasting Excel Data into Word

  1. Copy the Excel data. In Excel, click and drag to select the content you'd like to put in the Word document, and then press Ctrl + C.
    • Press press Ctrl + A to select all the data in a chart, and then press press Ctrl + C.
    • You can also click the Edit menu, and then click Copy.
    • If you're on a Mac, press Command + C to Copy.
    • In addition to copying and pasting Excel data, you can also copy and paste Excel charts into Word.
  2. In Word, paste the Excel data. In the Word document, move the cursor to the location you'd like your table, and then press Ctrl + V. The table is pasted into Word.
    • You can also click the Edit menu, and then click Paste.
    • If you're on a Mac, press Command + V to Paste.
  3. Choose your paste option. In the bottom right corner of the table, click the Paste Options button to see the different paste options.
    • If you don't see the Paste Options button, you don't have it enabled. To enable it, go to Word Options, click Advanced. Under Cut, Copy, and Paste, click the Show Paste Options buttons check box to add a check.[1]
  4. Click Keep Source Formatting to use the Excel table style.
  5. Click Match Destination Table Style to use the Word table style.
  6. Create a linked Excel table. Word has a feature that allows it to create links to other Office files. This means that if you make a change to the Excel file, the copied table will be updated in Word. Click Keep Source Formatting and Link to Excel or Match Destination Table Style and Link to Excel to create a linked Excel table.
    • These two options match the style sources for the other two paste options.
  7. Click Keep Text Only to paste the Excel content without any formatting.
    • When you use this option, each row will be on its own paragraph, with tabs separating the column data.

Inserting an Excel Chart into Word

  1. In Excel, click a chart to select it, and then press Ctrl + C to copy it.
  2. In Word, press Ctrl + V to paste the chart.
  3. Choose your paste options. In the bottom right corner of the table, click the Paste Options button to see the different paste options.
    • Unlike pasting Excel data, when you paste a chart, there are two different sets of options to choose from. You can change the chart's data options, as well as the formatting options.
  4. Click Chart (linked to Excel data) so that the chart will be updated when the Excel file is updated.
  5. Click Excel Chart (entire workbook) to let you open the Excel file from the chart itself.
    • To open the Excel file from the chart, right-click the chart, and then click Edit Data. The Excel source file will open.
  6. Click Paste as Picture to paste the chart as a static image that won't be updated when the Excel file is changed.
  7. Click Keep Source Formatting to use the Excel table style.
  8. Click Use Destination Theme to use the Word table style.
