Embed YouTube Flash Videos in Your PowerPoint Presentations

A video can go a long way towards sprucing up a dry presentation. Embedding a YouTube video will allow you to access that video in your presentation as long as it remains available on YouTube. It's especially useful if you are transferring and using the presentation on other computers. Follow this guide to find out how, regardless of your version of PowerPoint.

Steps

PowerPoint 2010 and 2013

  1. Enable the Developer tab. The Developer tab will allow you to insert objects that aren’t typically available. This will allow you to embed a YouTube video without having to use the Insert menu.
    • Click File and select Options.
    • Select Customize Ribbon.
    • In the “Choose commands from” dropdown menu, select Main Tabs.
    • Highlight the “Developer” entry and click the Add button.
    • Click OK. The Developer tab will appear at the top of the window with your other tabs.
  2. Click the More Controls button. This is located in the Controls section of the Developer tab.
  3. Select Shockwave Flash Object. You will have to scroll down to find this in the list.
  4. Click and drag to create the embedded object. The size of the box that you create will be the size of the movie on your slide. The box will have an “X” going through it.
  5. Prepare your YouTube URL. Find the YouTube video that you want to embed in your web browser. Copy the address of the video into Notepad.
    • Remove the “watch?” and replace the “=” sign with a “/”
      • For example, https://www.youtube.com/watch?v=BevOmZtKQ_w becomes https://www.youtube.com/v/BevOmZtKQ_w
    • If you want the video to play automatically when you open the slide, add “&autoplay=1” to the end of the address.
      • For example, https://www.youtube.com/v/BevOmZtKQ_w becomes https://www.youtube.com/v/BevOmZtKQ_w&autoplay=1
    • Copy the adjusted URL and return to PowerPoint.
  6. Right-click on the box you created. Select Properties from the menu.
  7. Find the “Movie” entry. When you open the Properties for your Flash object, a table will open in a new window. By default, the table is alphabetized.
    • Copy the adjusted URL into the Movie field. Close the Properties window.

PowerPoint 2007

  1. Enable the Developer tab. The Developer tab will allow you to insert objects that aren’t typically available. This will allow you to embed a YouTube video without having to use the Insert menu.
    • Click the Office button in the top-left corner. Select PowerPoint Options at the bottom of the menu.
    • In the Popular section (open by default), check the box labeled “Show Developers tab in the Ribbon”. Press OK.
  2. Click the More Controls button. This is located in the Controls section of the Developer tab.
  3. Select Shockwave Flash Object. You will have to scroll down to find this in the list.
  4. Click and drag to create the embedded object. The size of the box that you create will be the size of the movie on your slide. The box will have an “X” going through it.
  5. Prepare your YouTube URL. Find the YouTube video that you want to embed in your web browser. Copy the address of the video into Notepad.

PowerPoint 2003

  1. Open the Control Toolbox. Right-click on the menu bar, and select the Control Toolbox from the list of options. Alternatively, click View and select Toolbars, and then select Control Toolbox. A small window will open with several buttons.
  2. Click the More Controls button. This is located at the bottom of the Control Toolbox.
  3. Select Shockwave Flash Object. You will have to scroll down to find this in the list.
  4. Click and drag to create the embedded object. The size of the box that you create will be the size of the movie on your slide. The box will have an “X” going through it.
  5. Prepare your YouTube URL. Find the YouTube video that you want to embed in your web browser. Copy the address of the video into Notepad.

Using a Plug-In

  1. Download YouTube Video Wizard. This is a free plug-in for Microsoft Office that will add a “YouTube Video” button to your PowerPoint Insert menu.
    • Once the file has been downloaded, unzip it to extract the contents.
  2. Install the YouTube Video Wizard. The method varies depending on your PowerPoint version.
    • PowerPoint 2007-2013:
      • Open PowerPoint and click on the Office/File button. Select Options.
      • Click the Add-Ins section. Click Add New…
      • Browse to where you unzipped the file. Select the .ppa file and press OK.
      • Accept the warning and enable macros.
    • PowerPoint 2003:
      • Open PowerPoint and click Tools. Select Add-Ins.
      • Click the Add New… button.
      • Browse to where you unzipped the file. Select the .ppa file and press OK.
      • Accept the warning and enable macros.
  3. Add your YouTube video. In PowerPoint 2007-2013, click the Insert tab and then click the YouTube video button. In PowerPoint 2003, click the Insert menu and select YouTube.
  4. Enter the YouTube URL. Select if you would like the movie to start automatically and loop when it is finished.
  5. Select the size and position. Decide how much of the slide should be taken up by the video, and what position you want the video to be embedded in.
  6. Test the video. Once you have inserted it, run the slideshow by pressing F5. Ensure that your video plays correctly, and that the position is OK.[1]

Downloading and Converting Video

  1. Download the video from YouTube. During the conversion process, choose .mp4 or .avi as the file format. Save the file to your computer.
  2. Insert your video. Navigate to the slide that you want to insert your video into.
    • In Powerpoint 2007-2013, click the Insert tab and then click the arrow button underneath the Movie button in the Media Clips section. Select Movie from File. Browse for the newly downloaded movie.
    • In PowerPoint 2003, click Insert, select Movies and Sound, and then click Movie from File. Browse for the newly downloaded movie.
  3. Test your video. Once the video has been embedded, run the presentation by pressing F5. Once you get to your video slide, make sure that the video loads.
    • The video will not play unless the video is located in the same location that you designated. This means that if you send the PowerPoint to someone, then they won’t be able to see the video unless you send it to them and they place it in the correct directory.[2]

Tips

  • Some presentation authoring tools, such as PPT2Flash Professional, offer a shortcut to insert SWF Flash files quickly, and finally output the PowerPoint presentation with YouTube Flash video as Flash movie in SWF format. Flash-based presentation is a great solution to avoid compatibility issues from video codec, PowerPoint versions, and operating systems, and also tackles web-compliance issues.
  • Generally speaking, to avoid video codec problem with different computers, and ensure the properly video playback in PowerPoint, Flash video in FLV format and other video formats is not recommended to be inserted in PowerPoint. Based on the popularity of Adobe Flash player, which is widely installed on most computers in the world, Flash movie in SWF is highly compatible cross-platform and properly played back. You may try some video to Flash conversion tools, such as WebVideo Author, to convert FLV or other video formats to SWF format.
  • Flash video in SWF format could be inserted into PowerPoint presentation as "Shockwave Flash Object" in Control Toolbox (see Play Video in PowerPoint Directly from the Internet). And you can embed the SWF Flash file in your presentation through setting the attribute "EmbedMovie" to True in Properties tab.
  • You can also download VideoLAN VLC media player, which will enable PowerPoint to play a .flv video as is. Find the hidden Control Toolbox out in PowerPoint and go to "More Controls" (as in Play Video in PowerPoint Directly from the Internet). Select "VideoLAN VLC ActiveX Plugin v1/v2" in the set of controls available, then draw and resize the displayed area with mouse in the slide as you like. Right click the area you drew and go to Properties tab, and complete the value of attribute "MRL" with the path of the YouTube Flash video file, like D:\Temp\2008\temp.flv, then close the tab. Now the YouTube Flash video in your hard drive is ready to play in the presentation.
