Create Labels in Microsoft Word

This page will show you how easy it is to set up a label template in Microsoft Word and start printing them for your convenience. Use this tutorial for address labels, shipping labels, product labels, and many more with a few clicks of the mouse. Note: steps may vary slightly depending on what version of MS Word you're using.

Steps

Microsoft Word 2008 Mac

  1. Open Microsoft Word and create a new Word document.
  2. Click on the "Tools" menu up top, and then on "Labels...".
  3. Click on "Options" if you want to:
    • Select the brand of labels you will be using.
    • Select the style of labels you will be producing (address, business card, etc.).
    • Change printer information.
  4. Write the text you want to appear in the label.
  5. Select how many labels you will be printing on the page.
  6. Press "OK" and inspect your labels.
  7. Print your labels, not forgetting to introduce the label paper into the printer.

Microsoft Word 2007 PC

  1. Create your labels:
    1. Start Microsoft Word.
    2. Click the New Document button.
    3. From the Tools menu, select Envelopes and Labels.
    4. Select the Labels tab, click Options, select the type of labels you want to create and then click OK. Click on "new document" button.
    5. You will need to select the Avery ® template located on the product page of the item that you have. If there is not an Avery ® template available for the configuration you will have to setup a custom template.
    6. To create a new template click on the "new label" button and then type in your label dimension then select OK.
  2. Type and format the content of your labels:
    1. Turn on table gridlines (borders) so that you can see the outline of your labels: from the Table menu, choose Show Gridlines.
    2. If you’re creating a page of labels that will all look the same, type and format one label, then use copy and paste to create the rest of the labels (see step 3 for details on copy and paste).
  3. Duplicate information (text and/or photos) copy and paste:
    1. Select and highlight the text and/or photos you want to duplicate.
    2. From the Edit menu, select Copy.
    3. Place your cursor in a label where you want to place the information.
    4. From the Edit menu, select Paste.
  4. Save your labels:
    1. From the File menu, select Save.
    2. In the Save As window, locate and open the folder where you want to save the labels. Type a name for your labels, then click Save.
  5. Preview your labels:
    1. From the File menu, select Print Preview.
    2. Click the Print Preview button.
    3. When you are done previewing, click Close to close the preview window.
